At OT Studios, Inc we have a strict cancellation policy. Please read and sign in acknowledgment.
1. Cancellation/ No Show Policy for OT Service Appointment
We understand that there are times when you must miss an appointment due to emergencies. However, when you do not call to cancel an appointment, you are preventing another patient from getting much needed treatment. Conversely, the situation may arise where another patient fails to cancel and we are unable to schedule you for a visit, due to a seemingly “full” appointment book.
If an appointment is not cancelled at least 24 hours before a scheduled session, you will be charged a forty dollar cancellation ($50) fee; this will not be covered by your insurance company. Appointments can be cancelled via email (email@example.com) or text message the therapist line at (805)-751-9737.
2. Scheduled Appointments
We understand that delays can happen however we must keep our patients and OT’s on time. If a patient is 25 minutes past their scheduled session, we will have to reschedule the appointment and consider it a no show where you will still be charged the $50 late cancellation fee. Please plan to arrive to your sessions on time.
3. Late Pick-ups’
Our clients are scheduled back to back, therefore we are expected to sanitize, write our notes and prepare for the next client immediately after your child’s session. When you are late to pick up your child this affects our ability to prepare for our next client, therefore we charge $30 for every 10 minutes a parent or caregiver is late to pick up their child. The first time, you will receive a warning however any-time after that you will be charged a non-refundable $30 fee every 10 minutes of being late. We have an inviting waiting room set up for parents and caregivers, so if you feel you might not make it in time we suggest waiting in the waiting room to avoid incurring the fee.
